COMMITTEE MEETING
PURPOSE: GENERAL DISCUSSION AND WORK WEEKEND PLANNING

Absent: Diane Emmick, Lou Wassel, Bill Beaudin, Kurt Londhair, Lenny & Mary Marone
COMMITTEE MEMBERS: The minutes are to be presented to the board. We need to have an official list of who is member of the Lodge Committee. (See above – agreed all members of the committee are listed in the present and absent).
LODGE GOALS: We have done a lot of big projects. It looks great. We are running into the problem of the want to book rooms to make money.
Do we want to scale back on projects – big projects – to scale back of cost to maintain lodge?
Discussion has taken place in past meetings and will continue on the goal/function of the lodge. What is the consensus?
MISSION OF THE LODGE COMMITTEE: Our feeling –– is to maintain the lodge for the use of members only. The lodge is available for the whole club; not there to make a profit for the club. The goal – as the VP agreed – would be to work to on increasing the attendance to the lodge. Different people join the ski club for different reasons; not just to go to the lodge.
MARKETING/LODGE: The lodge is not up for sale. The focus is to keep the lodge in the black. The committee sells ski tickets to support the lodge. The committee’s goal for the lodge has been readjusted. The lodge no longer has to make a % profit. The proposal to form a permanent committee (for marketing) requires a change in the bylaws. At this point, it is a trial; therefore, we currently do not have to change the bylaws.
LODGE LEGAL ISSUES: Someone is looking into legalities of renting to other groups. Is insurance the issue with also fire codes and taxes? Doug Zamelis is on the board, but is believed to not able to look into the legalities due to time constraints/obligations. The current policy is that if people are not members, groups would not be allowed during the skiing season. Groups that have been discussed in the past are: motorcycle club, boy scouts, etc.
INSURANCE, STATE OF VT POLICY, FIRE, VT LAWS – as long as ‘renters’ are members we do not have to get a sprinkler system. The fire alarm has been confirmed it is working.
TAX – as long as ‘renters’ are members; not for profit; no
taxes are paid to VT or federal taxes. We
need answers on these issues before & if any changes are to be made. We should not accept guests. All individuals attending the lodge
should be members. There are a lot
of people who have joined and stayed at the lodge with their free night.
LODGE COMMITTEE/MARKETING COMMITTEE:
SURVEYS: The Marketing Committee has been proposed, perhaps not formed yet. It is in the process. This will affect the lodge. Ken, and Al attended Marv’s (VP) for further discussion regarding the lodge/marketing proposals. Diane Clark volunteered to be on the Marketing Committee. Anyone else?
MARKETING COMMITTEE MEMBERS – WHO FROM LODGE COMMITTEE? It is believed that Diane Emmick & Lou Wassel are interested in joining the Marketing Committee. This year we have quite a few new members who have joined the ski club. Marv may become President and is definitely interested in a Marketing Committee. It is a good idea. Marketing the lodge is a great idea.
LODGE WEB SITE:
Ken provided information to Arley to update some of the lodge pages on the web site.
TICKETS: He added other available ski resorts we can get tickets from the NJ Ski Council – with advanced notice. NJ Ski Council orders tickets once a month – for their members – for the 2nd Tuesday meeting for their club. The cut off date for March distribution – is the 29th of Feb. They can order tickets directly from the mountain; however, they prefer to have advanced notice to guarantee delivery of the tickets. We need awareness to the ski club – to market what tickets are available and where – people need to approach with interest – in advance – that they would like to ski a particular mountain. We need to have commitments; perhaps people order and pay to have the tickets delivered to them. Sugarbush – a large volume is sold; therefore, we can order those ahead.
WEB SITE PHOTOS: The old Women’s dorm bathrooms were replaced with new pictures of the updated/remodeled bathroom. Let Ken know if anything else needs to be changed.
LODGE RULES: …have been amended to include the standing rule of NO PETS and NO SMOKING IN LODGE .
WORK WEEKEND ON
Friday, April 25 to Sunday April 27:
1. The Lodge Committee is looking for guests who are interested to volunteer. (It will be in the Boomer, etc.) Availability is limited; according to the number beds available. First come, first serve? Also, the talents available for the needs of the work weekend should be considered. If we mention what we are going to be working on, people will volunteer their expertise.
Noted: In the
past, it was perceived to be a closed group and we are working to change that
perception. It must be understood by
all attending – that work weekend is for working. There have been some instances where this
may have been abused and the ski club is incurring an expense for provisions.
2. HEAT LOSS: Neville checked out the heat loss situation. What should be done about it? The board knows about it. We should address this on work weekend; such as: casings, blow-in insulation – Ken will check with Arley. There are some window areas to do. Perhaps after work weekend; inject cellulose in walls.
INSULATION: Dining area.

Need another roll of insulation for basement window and
to keep on hand.
ROOF: We could contact Jim to see if he can pressure wash and paint. Oil base paint may have to be used. A metal paint….. It will be a cosmetic improvement to the back roof.
WINDOWS: Went to Lowe’s, Home Depot, and Giarusso. Quotes are for $820 and $650. This is being done to complete the fire code requirements. How many windows? Four to vie windows are required to be replaced. They have inspected what we have done (fire codes). The windows are for fireman to be able to rescue tenants. The windows may be under a separate fund – either general improvement to safety fund. Ken is to ask. Dave – approach board – cost vs. amount of work. We should do rooms 3 & 4 to start and complete the others later; perhaps in the summer? …or when? What is of the utmost priority? Is it insulation or windows?
BACK DOOR: Can the threshold be adjusted for the winter for the door to be able to open? It appears to still be an issue.
