Lodge Committee Meeting Minutes

March 17, 2009    7:00pm

 

ATTENDING:  Co-Chairs: Ken Robbins and Al Smith; Bill Beaudin, Dave Clark, Diane Clark, Debora Kimberly, John Tuttle

 

EXCUSED:  Dianne Emmick, Cindy Clarke-Smith, Mary Marrone, and Lenny Marrone,

Lou Wassel

 

WORK WEEKEND

 

PROJECTS:  Preliminary list of over 20 lodge projects was distributed and discussed. 

 

INSULATION:  Infared scans show improvements of areas reinsulated.  Insulation deficiencies will be addressed at work weekend. 

 

REPAIR:  Plumber repaired leaking pipes in back storage area, kitchen and back bathroom in  February– repairs to wall in back storage area, kitchen and wherever necessary will be completed.

 

15 people to attend work weekend (last week in April) - April 24, 25 & 26

MEALS:              Plans were discussed.

 

LODGE SUPPLIES:  Determine quantity of paper products, cleaning supplies, etc. to purchase for lodge.

 

BUDGET:  Reviewed lodge expenses for 2008-2009 fiscal.  Ken will discuss the budget plans with John Sonne, Treasurer. 

 

FUTURE PROJECTS

 

ROOF:  to be painted this summer

 

RAILING:  replace lattice with railing.

 

 

 

 

FUTURE ADDITIONS

 

LODGE RESERVATIONS:   ONLINE BOOKING WITH PAYPAL to website?

         POINTS DISCUSSED

 

§  Convenience:  This should limit book keeping commitment for the reservationists

§  Data collection on lodge usage.  (eg:  Out of county residents, etc.)

Issues:

§  Actual lodge attendance; online room availability

§  Reservation access without membership identification number

§  Secure site; cost

§  Door combination

§  Lodge rules and confirmation notice

§  Will coordinate with Marketing Committee; data collection; disbursement of code, confirmation and online room availability issues; actual lodge attendance

 

WI-FI at the lodge

§  Research regarding need, availability and cost

§  Why? Marketing to attract attendees.

 

SUMMER WEEKLY RENTAL RATES:         

 

DATES:  May 1 to October 31 excluding:

§        Holidays such the fourth of July weekend

§        October excludes Columbus weekend and work weekend dates.

RATES:  The set rate for family rental in summer for exclusive use (entire lodge)

           

MARKETING

 

Board suggested adding a formal calendar of events to the new website calendar. 

IDEAS:           

§   Suggested monthly events throughout the year with trip leaders

§   Coordinate with the marketing committee on events such as hiking, kayaking,          cross country skiing, downhill skiing, hiking, golf, gardening, and other ideas. 

§   A committee member or volunteer will be needed to coordinate the calendar for the lodge.

§   All members will have input.
